Today we're talking to Wendy Lilley, ‎Digital Marketing Specialist & Founder of Jungle Drums. Welcome Wendy!

Tell us about your company. Who are you, and what do you do?

Wendy: We are a digital marketing agency. We help clients build a presence across the digital space. Our services include helping clients generate leads through lead magnets, offers and Facebook advertising. We also take care of email automation, building websites and managing our clients’ social media accounts to generate growth, engagement and sales.

What kind of clients do you work with?

Wendy: We work with a range of clients across B2B and B2C. Our portfolio spans corporate, retail, small businesses

What challenges were you facing when it came to your workflow?

Wendy: We needed a tool that would allow us to collate invoicing and purchase orders in one place and on one job for easy reference.

What was the most important factor to you when choosing project management software?

Wendy: For us one of the key requirements was that the system we chose was online and easy to use. We also wanted something that allowed us to see our profit margin on each job easily.

Apart from WorkflowMax, do you use any other software tools to manage your business?

Wendy: Yes, we use Xero

Walk us through the life of a project at your company, from beginning to end. What are the steps in the process and how do you use WorkflowMax or other software at each step?

Wendy: Let's say a client comes to us and needs content created for their social media channel. We review who the best creative is for that job, create an estimate and timeline and deadlines through WorkflowMax. We adjust accordingly to the project. We raise a 50% invoice prior to commencement of the project and bill the final 50% plus any add ons at the completion of the project.

Throughout the process we are able to see where we are at with billing the project & what are profit margin is. We create Purchase Orders for each supplier used and this provides us with easy reference in 6 or 12 months later when we want to do something similar and can see who we used for the job and what we billed.

What kind of reports are you creating with WorkflowMax?

Wendy: We predominantly use job cost reconciliation reports which allows us to see what the true profit is on each job.

What do you love most about WorkflowMax?

Wendy: We love that WorkflowMax is entirely online! And the seamless integration with Xero is handy too. Plus, it’s easy to use. We’re a small business (there are two of us!) so it was straightforward enough for us to set up the system by ourselves!
